6 Acknowledgements, Agreements and Waviers

Community & Confidentiality Guidelines *	I have read and agree to honour these Community & Confidentiality GuidelinesA meaningful retreat depends not only on what is offered, but on how we share the space together. We invite every participant to help create an environment of respect, choice and care. Our Shared Agreements • Confidentiality: What someone shares about their personal experience belongs to them. I will not share another participant’s story, identity or personal information outside the retreat without their permission. • Choice: I respect my own right, and everyone else’s right, to participate, modify, pass, pause or step away. • No fixing required: I will listen without assuming that another person wants advice, interpretation or a solution. • Boundaries: I will respect physical, emotional and conversational boundaries, including requests for space or privacy. • Respect: I will make room for different experiences, perspectives and ways of participating. • Personal sharing: I will speak from my own experience rather than making assumptions about another participant’s experience. • Photography and social media: I will not photograph, record, tag or post another participant without their express permission. A note about confidentiality: Permission to Be can ask participants to honour confidentiality, but cannot guarantee that every participant will do so. Facilitators may also need to act where disclosure is required by law or where emergency assistance is necessary.
Photo/Video Release *	YES. I give Permission to Be permission to photograph and/or record me and to use selected images or recordings for its website, social media, promotional materials and communications. NO. Please do not intentionally photograph or record me for promotional use. I understand that group settings can make incidental inclusion possible. Permission to Be will make reasonable efforts to honour a 'No' selection. We occasionally take photographs or short video clips to share the atmosphere of Permission to Be retreats and future offerings. Your choice has no effect on your ability to participate.
Nature of the Retreat *	I understand that retreat activities may include, depending on the program, gentle yoga or other movement, breath and awareness practices, meditation, sound-based experiences, time outdoors or walking in nature, group discussion, journaling, grief-related reflection, educational sessions and other wellness practices. I understand that I have the opportunity to ask questions before participating.
Voluntary Participation *	I understand that my participation is voluntary. I may choose not to participate in any activity, may modify an activity, and may pause, rest or leave an activity at any time. I agree to listen to my own physical and emotional limits and to communicate with a facilitator when I need assistance or accommodation.
Acknowledgement & Assumption of Risk *	I understand that participation may involve ordinary and inherent risks. These can include, without limitation, muscle strain, falls or other injury associated with movement or walking; uneven or slippery outdoor surfaces; weather, insects or environmental conditions; reactions to sound or sensory experiences; and emotional discomfort or distress that may arise during reflection, grief-related discussion, meditation or group activities. I knowingly and voluntarily accept the ordinary and inherent risks associated with the retreat and my participation in its activities, to the extent permitted by law.
I authorize emergency services on my behalf if necessary *	If I become ill or injured and am unable to make decisions for myself, I authorize retreat organizers to contact emergency services and/or my emergency contact when reasonably necessary. I understand that I am responsible for costs associated with medical care or transportation except where otherwise required by law.
Participant Release & Limitation of Liability *	I agree, to the fullest extent permitted by applicable law, to release and hold harmless Permission to Be and its owners, facilitators, contractors, volunteers and representatives from claims arising from the ordinary and inherent risks of my voluntary participation in retreat activities.
Disclosure for safe participation *	I agree to disclose information that is reasonably necessary for my safe participation, including relevant allergies, mobility needs or other considerations, while understanding that I am not required to provide more personal information than is necessary.
Is there anything else you would like the facilitators to know that would help us support your experience? *	Some retreat experiences may invite reflection on grief, loss, change or other personal experiences. You are always welcome to participate at your own pace. Please share only what feels appropriate.
Substitution for Professional Care *	I understand that Permission to Be retreats are educational and wellness experiences and are not a substitute for medical care, psychotherapy, psychiatric care, crisis services, diagnosis or treatment. I am responsible for determining whether participation is appropriate for me and for consulting a qualified health professional when appropriate.
Personal Belongings *	I am responsible for my own personal belongings. Permission to Be is not responsible for loss, theft or damage to personal property except to the extent responsibility cannot lawfully be excluded.
Cancellation and Refund Policy *	We understand that plans can change, especially when life is already carrying a great deal. At the same time, retreats require advance commitments for space, food, facilitators and other arrangements. This policy is intended to balance both. Participant Cancellations • Cancellations received 21 days or more before the retreat: full refund less a stated administrative fee. • Cancellations received 7-21 days before the retreat: 50% refund / credit toward a future retreat. • Cancellations received 7 days or less before the retreat: registration fees are non-refundable • If you are unable to attend, you may contact us to ask whether your registration can be transferred to another person. Transfers are subject to approval and completion of all participant forms. If Permission to Be Cancels If Permission to Be cancels the retreat, participants will receive a refund of retreat registration fees paid. Unless expressly stated otherwise, Permission to Be is not responsible for incidental costs such as transportation, accommodation booked independently or other personal expenses. Unexpected Circumstances If circumstances outside our reasonable control affect the retreat, we will communicate with participants as promptly as possible and make reasonable efforts to offer an appropriate alternative, credit or refund, depending on the circumstances and commitments already incurred.
Acknowledgement *	I have read and understood the Participant Agreement, Informed Consent & Liability Waiver. I agree to the terms outlined, including the acknowledgement and assumption of risk and release provisions.
